The National Information Technology Authority – Uganda (NITA-U) is committed to protecting the privacy of individuals who interact with the Kola HR Portal ("the Portal"). By using the Portal — whether to apply for a job, submit an internship application, or access employee services — you acknowledge that you have read and understood this notice.

We collect personal information you voluntarily provide, including but not limited to:

  • National identification and academic credentials
  • Curriculum vitae (CV) and cover letters
  • University letters and supporting documents for internship applications
  • Employment history and professional references

We may also collect technical information automatically, such as IP addresses, browser type, and session activity logs, for security and system monitoring purposes.

How We Use Your Information

Your personal data is used solely for the following purposes:

  • Processing job and internship applications
  • Communicating application outcomes and offer letters
  • Managing employee records and HR workflows
  • Complying with legal and regulatory obligations
  • Improving portal functionality and user experience

We do not use your data for marketing, profiling, or any purpose beyond what is described here without your explicit consent.

Sharing of Information

NITA-U does not sell or trade personal data. Information may be shared only in the following circumstances:

  • With authorised NITA-U staff involved in the recruitment or HR process
  • With government agencies where required by law or regulation
  • With third-party service providers (e.g., email delivery) under strict data processing agreements

Data Retention

We retain personal data for as long as necessary to fulfil the purposes outlined in this notice, or as required by applicable Ugandan law. Application data for unsuccessful candidates is typically retained for a period of one (1) year after the recruitment process concludes, after which it is securely deleted.

Your Rights

Subject to applicable law, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data where no legal obligation requires us to retain it
  • Object to processing of your data in certain circumstances

Security

NITA-U implements appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. These measures include encrypted connections (HTTPS), access controls, and regular security assessments.
